Organising a group watersports outing: information to give the provider

Headcount, experience, timing and objectives: prepare an enquiry that helps the provider plan for your group.

To obtain a usable proposal, describe your group before asking for a price. The provider needs to know who is taking part, what you want to do and your constraints. A total headcount alone is not enough to prepare an outing.

Present the group without hiding differences

Give the number of adults and minors, relevant ages and each person’s experience. Separate paddlers from people staying ashore. If the final headcount is uncertain, say what is confirmed and ask when numbers must be finalised.

Do not turn “some have kayaked before” into a shared ability level. French freshwater guidance asks people to consider teammates’ skills and the route. The provider needs to adapt the offer to the whole group, not just the most experienced.

Describe the day’s objective and constraints

Do you want an introduction, guided exploration or independent activity? Does the group prefer to stay together? Do you have a transport schedule or another booking? Specify the preferred date and possible alternatives.

Communicate accessibility or adaptation needs through the club’s designated channel. Do not share detailed medical information in a group message or general form: first ask how to exchange necessary information with the appropriate person.

Ask for written arrangements

Clarify craft allocation, supervision, meeting and finish points, and any transport. Ask whether the group will be split into several sessions and how non-participants will be accommodated.

For a school group or organised childcare group, state that context from the first enquiry. The FFCK distinguishes these situations in its French regulatory information. Do not apply a supervision ratio found for a different audience or country.

Centralise answers and confirmation

Choose a contact for schedules and headcount changes. Before payment, confirm price and inclusions, the modification deadline, cancellation conditions and what happens if paddling conditions change.

After confirmation, give everyone a short information sheet: exact address, arrival time, requested belongings, programme and provider contact. Ask each participant to read the instructions relevant to them. The group contact coordinates communication; they do not replace the briefing or the instructor’s authority.

Check before booking

  • Headcount, ages, experience and group context are described.
  • Objectives, dates and timing constraints are communicated.
  • Organisation, equipment, transfers and price are confirmed.
  • Every participant receives useful information before departure.
